Mobile Phone and Tablet Guidance

Background

Due to the nature of our business, AADF have faced a growing threat of cyber attacks. AADF has evolved its defences in response to such threats.

By following these guidances, we can ensure that acceptable security mesures are implement on your device.

To access AADF resources your mobile device must be using the latest major version of iOS or Android. If your phone uses older versions of these operating systems, you are obliged to update them. This is because older versions of operating systems no longer receive security updates. You must install security updates within 2 weeks of their release.

What will I need to do to prepare?

To set up access to AADF e-mails from your mobile, please follow the guidance for your mobile operating system contained later in this document.

What should I expect?

  • Outlook Mobile is the only email and calendar application permitted to read AADF Email and calendar.
  • Accessing AADF email via the web on your phone will not work unless you download the Microsoft Edge browser for mobile
  • The below policies will apply to Microsoft mobile apps which are signed into using your work account:
  • You will be requested to configure a minimum 6-digit numeric pin code which you’ll be prompted for every time you open Outlook Mobile / other Microsoft mobile apps, or when your session times out after 30 minutes.
  • Entering your pin into a work protected app incorrectly 5 times will invoke a pin reset, which will require you to sign into your AADF account again.

iOS Configuration

Download the ‘Microsoft Outlook’ applications from the Apple App Store
Open the Microsoft Outlook application
Enter your company email address
When prompted, select the option to register your device

Android Configuration

Download the ‘Microsoft Outlook’ application from the Google Play Store

Open the Microsoft Outlook application and select ‘Get Started’

Enter your company email address

Enter the code generated by your authentication app
When prompted, select ‘Get the app’ to download the broker app (Company Portal)
Download the company portal application when prompted

You may be prompted to activate device administrator on the Outlook app.

Select ‘Activate’ to continue with the setup.
You will now be presented with the ‘Get Access’ screen with a summary of your access to company data, select ‘Continue’

Older devices may be restricted from accessing company data.
Next you will be prompted to enter a 6-digit pin for the mobile application

The mobile application containing company data is now protected by the organisation.
